Bringing All Access Fest to Your Classroom

Thank you for your interest in All Access Fest 2021, a virtual career fair with a music industry twist! Here’s the information you need to get your students involved.

About All Access Fest

This free, day-long event invites youth ages 16-24 to follow their dreams of a career in the music industry, spark discovery, and map pathways to success. Panels and experiences will provide the tools, resources, and expertise of industry professionals to inspire the next generation of artists, leaders, and innovators. The schedule for the day can be found on the event registration page below. To assist in scheduling attendance throughout the day, playback of previous sessions will be an available feature during the event.

Connecting to the Hopin Event Platform

If your school restricts internet settings, blacklists websites, or uses firewalls, please work with your IT staff or network administrator to allow you or your students to access the Hopin virtual platform. Find details about sites to whitelist and other network connectivity settings below.

Options for Educators

1) Have your class register and participate as individuals

In this scenario, you share the event registration page with each student, and they register for the event on the Hopin virtual platform. Each student creates a Hopin profile and enters the event from their own computer.

Choose this option if:

  • Your students have access to individual laptop or desktop computers with headphones.
  • Your students have individual email addresses and can share their addresses with Music Forward Foundation. Student emails will not be shared publicly during the event. Students can use initials or first names only in public sessions.
  • You have classroom time before All Access Fest to help students register for the event in advance.
  • You want students to choose what they will watch and interact as themselves at the event. As a safety precaution, direct chat features will be disabled during the event. All communications will occur in public chat/Q&A spaces.

Requirements your students need to know about:

  • Registering for the event requires creating a Hopin account with an email address.
  • Accessing the event requires a Chrome or Firefox web browser on a laptop or desktop computer, preferably with a wired internet connection or powerful Wi-Fi. Headphones are preferred.
  • Participating in special experiences for students (networking with industry professionals, getting feedback on a track) requires early registration and submission of materials. Please have them fill out the profile form below after registering for the event on Hopin.

2) Broadcast All Access Fest to your classroom

In this scenario, you register for the event on the Hopin virtual platform, choose one or more live segments, and share your event screen with your classroom. Keynotes and Panels are the best choices for broadcasting to your class rather than interactive sessions or the Expo Hall.

Choose this option if:

  • Your students don’t have access to individual laptop or desktop computers with headphones.
  • Your students don’t have individual email addresses or cannot share their addresses with Music Forward Foundation.
  • You don’t have classroom time before All Access Fest to help students register for the event in advance.
  • You only want to share a specific Keynote or Panel that coincides with your classroom time.

Requirements your students need to know about:

  • Registering for the event requires creating a Hopin account with your email address.
  • Accessing the event requires a Chrome or Firefox web browser on a laptop or desktop computer, preferably with a wired internet connection.
  • Broadcasting to an in-person classroom requires a large monitor or projector to display your computer screen, with speakers for event audio.
  • Broadcasting to a virtual classroom requires that your e-learning platform allows screen sharing with audio (see Zoom’s help documentation on screensharing with audio).
  • Replay Option: Video from Keynotes and Panels will be published within the event platform about 20 minutes after each session ends. If your class meets after the scheduled live time slot for a Panel or Keynote you want to share with your students, go to “Replay” in the left-hand navigation bar and find the recorded video. Replay videos are only viewable during the event.

Privacy Information

Email addresses are private by default

Every participant must submit a unique email address to create a Hopin account, but that address is only shared with the organizers and Hopin. (Exception: if a teacher broadcasts or screenshares the Hopin event to a classroom, only the teacher needs to create a Hopin account). However, if the attendee clicks on a Call-to-Action link in an Exhibitor Booth, the Exhibitor will also get that email address.

Hopin profiles can be non-identifying

To protect their own privacy, users can include minimal information in their Hopin profile. Examples include initials or a nickname instead of full name and/or no profile picture or a non-identifying picture (flowers, sky). Hopin profiles can be edited by the user at any time after account creation to add or remove distinguishing details.

Privacy and communication during the event

All one-on-one communication features have been disabled so that all interaction will take place on public, monitored chat and video. If a student wishes to speak in an interactive session but doesn’t want to show their face or surroundings, they have the choice to disable video. They will show up in the session as a dark pane displaying their Hopin profile picture or initials.
